Managing Open Orders

Accessing Open Orders

  • Click View Open Orders from the Sales screen.

  • Use the Search Bar to filter by customer name, email, or contact number.

  • Click on any result to open the full order.

Editing an Order

  • The Open Order Screen mirrors the new order interface, with additional controls.

  • You may:

    • Add products using barcode or search

    • Remove products

    • ❌ Cannot change customer info (for data consistency)

Managing Order Status

  • Use the Order Status dropdown to update:

    • To Be Ordered

    • On Order

    • Ready for Pickup

  • This helps staff and customers track progress and stock procurement.

Adding or Completing Payments

  • Use Add Payment to record:

    • A deposit

    • Full payment in advance

    • Split payment by item or amount

  • When all items are ready, click Complete Order to take final payment and issue an invoice.

Partial Order Completion

  • Customers can pick up only part of their order.

  • The system will:

    • Accept payment for only the selected items

    • Update inventory accordingly

    • Mark the rest of the order as still open

Cancelling an Order

  • Use Cancel Order to stop fulfillment.

  • A refund screen will open so you can return any payments already received.

  • Committed stock is released back to saleable inventory.

Order Notes and Logs

  • Staff can view and update Order Notes anytime.

  • These are internal comments and include a log of changes:

    • Order status updates

    • Payment activity

    • Item modifications
